This position serves as liaison for the Office of Instruction with academic divisions and/or departments; works with divisions to assign classrooms; manages department records; coordinates purchasing and maintenance/repairs of office furniture and equipment; maintains inventory of supplies; performs budget tracking and expense reconciliation; authorizes certain expenditures; and processes financial paperwork.

This position also provides primary administrative support for one Associate Dean and back up support to Associate Deans, and Provost as needed.

Essential Functions/Typical Duties

* Classroom management for the college, including scheduling of rooms each quarter and liaising with facilities for classroom maintenance; maintaining classroom furnishings

* Conduct yearly inventory of classrooms for furniture and equipment and consult with Divisions and Campus Operations to assure that classrooms are equipped and set up according to specifications

* Anticipate potential conflicts and attempt resolution before problems occur; plan, evaluate and consult with staff and outside entities to identify problems, explore solutions and alternatives, and recommend resolutions designed to meet the goals and objectives of the Office of Instruction

* Provides training for college staff on processes and technology needed for class and room scheduling

* Serve as Office of Instruction liaison to Facilities department, attending meetings, conferences; develops and makes public presentations on program related topics;

* Provides information and technical assistance to program participants, staff and outside entities regarding classroom management, policies and activities and recommends alternative courses of action

* Administrative supports for multiple Associate Deans, such as create or edit letters, reports; scheduling, creating agendas, and taking minutes during meetings; maintain SharePoint sites; and manage other duties as assigned

* Administrative support for the Curriculum Committee, Catalog Production processes, and assessment processes. Provide support to faculty assessment teams by maintaining SharePoint site, and tracking workflow. Work with faculty, program chairs, Deans, and other departments to generate data for quality and accurate reports

* Confers regularly with Office of Instruction staff regarding the interpretation and implementation of instruction policies; participates in establishing standards and identifying areas for development

* Collaborate with other Office of Instruction staff to coordinate and plan events

* Serve as backup person for other staff members and projects in the Office of Instruction, being able to take over as primary in the absence of the lead member

* Create and maintain tracking process and website for articulation agreements with other campuses

* Serve as main point of contact in the Office of Instruction; Provide front desk reception, greet and assist students and other visitors, answer phones, sort and deliver incoming mail, track paperwork submitted to the office for signature

* Other duties as assigned by direct supervisor

Qualifications/Core Competencies


* Associates Degree from accredited institution or two years office management experience

* Two years professional experience in a higher education environment

* Effective interpersonal and communication skills in listening, researching, investigating, organizing and problem-solving

* Intermediate to advanced general computer skills, including Microsoft Office and websites; ability to learn new software and quickly progress to higher proficiency, such as business office software, database programs, desktop publishing and graphics software

* Ability to work effectively with students, faculty, and staff from diverse backgrounds


* Bachelor's degree from accredited institution

* Experience with SharePoint

* Two years office management experience involving planning, organizing, and coordinating work in a business office

* Advanced skills in Excel

* Experience with room scheduling software systems, preferably 25Live

* Experience with student management systems (SMS)
