Executive Administrative Assistant II

The EAA manages complex arrangements for meetings, appointments and travel and independently performs all required administrative follow-up and recordkeeping. This position is also responsible for monitoring multiple budgets, tracking expenditures, preparing reports, reconciling accounts, and processing invoices. The EAA receives, assesses, routes, and monitors follow up action steps on OGC phone calls and correspondence, independently handling procedural and substantive matters as appropriate which do not require technical knowledge, and serves as the primary administrative contact for OGC with university constituents and external contacts, including the Maryland Office of the Attorney General and other government agencies. The successful candidate will provide information requiring comprehensive knowledge of institution policies, procedures and special issues in the facilitation of problem resolution, interpret administrative decisions and policies to other staff members, and transmit directions and instructions based on authority delegated by the vice president. The EAA will exercise independent judgment and initiative in establishing and revising complex and sensitive filing systems, assist with the coordination of the university policy review process and the maintenance of the university policy repository, and work collaboratively with the paralegal at the direction of attorney staff to provide litigation support and assist with management of subpoenas and record requests.

High School Diploma or equivalent and six years of administrative support experience. Comprehensive knowledge of and skill in the application of office practices, procedures and equipment; of business English, spelling, grammar and math. Knowledge of and skill in the use of Excel and Microsoft Word. Skill in composing a variety of correspondence; in operating manual and automated office equipment; managing filing systems; gathering and summarizing information; maintaining confidentiality; handling sensitive matters with discretion and tact; and planning, organizing, prioritizing and executing complicated and continuing assignments without instruction. Ability to interact with others in a consistently courteous and respectful manner, with an awareness of diverse perspectives and a commitment to inclusivity. Ability to communicate effectively both orally and in writing; to understand and follow oral and written instructions; to project a professional and positive image of the institution.

Experience working in a Higher Education environment preferred.

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

A Criminal Background Investigation is required for the hired candidate and the results may impact employment.
