POSITION SUMMARY

The office clerk's primary responsibility is to supply administrative support to the sales and operations team. This position will be based out of the Webberville Quarry located in Manor, Texas, and report directly to the plant manager with a dotted line to the senior sales representative. This position will provide administrative support to 2 locations, one location in Manor, Texas and one location in Del Valle, Texas. Typical schedule will be 8:00am – 5:00pm, Monday – Friday, but may require occasional Saturdays if there is a special project or supporting as backup in the absence of the scale clerk.

ESSENTIAL RESPONSIBILITIES

  • Demonstrate a positive, professional, upbeat attitude and energy level toward teammates, peers, and, customers
  • First point of contact for all office traffic (vendors/customers/contractors/etc.)
  • Assist in answering phones and directing to appropriate personnel
  • Provide administrative support for sales and operations department
  • Data entry required to produce production and sales reports
  • Enter orders and quotes for customers
  • Obtain pricing and request quotes from vendors
  • Assist with credits and re-bill, and resolve unapplied payments and accounts receivable
  • Follow up with customers and vendors to maintain quality relationship and customer service
  • Convey any known customer needs and/or complaints with the appropriate personnel
  • Backup support for the scale house at both locations
  • Assisting with cash management by reviewing and balancing daily cash sales and deposits
  • Maintain housekeeping in areas of responsibility
  • Assist in audits and reconciliation of inventory
  • Other duties as assigned

EDUCATION AND EXPERIENCE

  • High school diploma, GED or equivalent experience required
  • 1-2 years of administrative experience, preferably in the construction industry
  • Valid driver's license

KNOWLEDGE, SKILLS, AND ABILITIES

  • Must be able to work 40 hour per week, possible weekends, overtime, and holidays as needed
  • Demonstrated strong interpersonal, verbal and written communication skills
  • Strong administrative and organizational skills with an attention to detail
  • Strong time management and prioritizing skills with ability to multi-task
  • Must be service oriented with proven ability to work in a fast-paced TEAM environment
  • High level of customer focus and care
  • Proficient with MS Excel, Word and Outlook
  • Knowledge of Access and PowerPoint, preferred
  • Familiarity with JD Edwards or similar system a plus
  • Ability to travel 10-15% of the time between locations

PHYSICAL REQUIREMENTS

  • Ability to sit for extended time periods
  • Ability to lift up to twenty-five pounds
  • Ability to stoop, bend, squat and reach for activities such as filing
  • Ability to use a PC and perform data entry activities for extended time periods
  • Willingness and ability to travel on an occasional basis
