Payroll/Benefits Specialist

Expected Results

* Prepare time and labor data to ensure that the biweekly payroll is processed in an accurate and timely manner.

* Support the administration of Appvion's benefit programs to include answering employee questions, monitoring life events and eligibility, auditing, preparing data for benefit vendors, distributing benefit communication and notices as required for compliance.

Supporting Activities

* Audit employee data for accuracy and reconcile discrepancies prior to payroll transmission by corporate.

* Prepare and enter payroll related items into the general ledger.

* Maintain departmental and plant seniority lists in order to track people movements, wage and schedule changes.

* Create and run reports as needed.

* Monitor and maintain attendance and vacation records for 500+ employees.

* Work with department managers, operations leaders and employees to ensure that changes to work schedules are captured.

* Answer employee questions and resolve employee pay and benefit concerns.

* Apply contract language to payroll activities.

* Partner with Human Resources to resolve payroll and/or benefit issues that may arise

* Function as a liaison between vendors and employees and serve as an advisor to site Human Resources and employees regarding eligibility, coverage, and other benefits matters.

* Administer health and welfare benefit programs by making eligibility determinations (ie midyear qualifying status changes), entering new hire and eligibility/coverage changes into vendor websites, entering changes into HR system, and educating and responding to employee questions.

* Assist with the administration of open enrollment procedures including timeline creation, online enrollment, vendor files, auditing and answering employee questions.

* Assist with ERISA audit.

* Compile and maintain benefit records, reports, and documents.

* Serve as backup for FMLA administrator.

* 401K administration.

Required Prior Accomplishments - Experience - Skills

* Experience in payroll using a timekeeping system such as Kronos is required. Experience with HRIS systems and project management is preferred.

* Benefit administration experience preferred.

* Strong organizational, analytical, writing and communication skills.

* Must be detail oriented; need to adhere to strict timelines and deadlines with a high degree of accuracy.

* Must be able to handle multiple tasks and work effectively with changing priorities.

* Team player with the ability to deal tactfully and effectively with employees; able to build trusting relationships with all levels of employees.

* This position requires a high degree of confidentiality; ability to handle confidential and sensitive information.

* Must be proficient in Microsoft Office (Word, PowerPoint, Excel) and Outlook.

* Previous experience supporting a union workforce is strongly preferred.
