Position Description

JOB SUMMARY:

The Assistant Project Manager will assist the Project Director in administering a grant from U.S. Department of Education Alaska Native Education - Take Wing “Tengluni“ - with the Calista Education and Culture, Inc. and assist in facilitating activities in accordance with the intent of the grant in a timely manner with all the individuals and organizations involved. This position is subject to funding availability and expected to last fulltime until approximately September 2022.

ESSENTIAL FUNCTIONS

  • Review and understand the US Department of Education grant award and requirements to assist the Project Director for compliance, including:

“Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards,“

Education General Administrative Regulations (EDGAR),

“Select Topics in Administering ED Discretionary Grants,“

Complete required training and

  • ther additional requirements related to the grant.
  • With direction from the Project Director, ensure the use of fiscal controls and accounting procedures to insure proper disbursement of and administration of Federal Funds.
  • With direction from the Project Director, communicate regularly with fiscal management staff, granting agency contacts, and those involved with the grant project.
  • Insure that Federal grant funds are used only for those expenditures associated with activities that conform to the goals and objectives approved for the grant project.
  • With direction from the Project Director, monitor and track the grant budget and ensure activities are completed within budget and timeline and in alignment with the Uniform Cost Principles.
  • Conduct regular drawdowns for the grant using the information provided by accounting.
  • Ensure the Calista Education and Cultural, Inc. objectives are managed and met:

Assist with preparing and submitting all grant required documents and correspondence.

Assist with the recruitment and selection of students for the cohorts.

Assist with logistics of the up several school presentations and four student cohort groups participating in three immersions and college visits.

  • Assist with health and safety requirements for any meetings, immersions, gatherings and other related activities are implemented, monitored and reported.
  • Assist with planning, coordinating and conducting meetings, immersions, gatherings, presentations, and trainings with essential attendees and team members.
  • Assist with collection and combine information gathered, disperse to team members, track progress, and ensure completion of grant objectives as scheduled.
  • Assist with semi-annual and annual (narrative and financial) reports for the grant when due.
  • May perform regular drawdowns for the grants in a variety of on-line platforms in accordance with the grant requirements and in coordination with the fiscal management team.
  • Regularly review accounting expenses, revenue, producing financial reports (QuickBooks) and supporting documentation to ensure alignment with grant requirements.
  • Assist with program data compilation and recording a database using a determined method; ensure documents are assembled, organized, tracked, and filed.
  • Work in a constant state of alertness and in a safe manner.
  • Perform additional duties as assigned.

KNOWLEDGE, SKILLS, & ABILITIES:

  • Excellent organizational and time management skills with the ability to prioritize, multi-task, and confidentially process and maintain data with accuracy with minimal oversight.
  • Ability to learn and understand policies and procedures and how they relate to Calista Education and Culture's goals.
  • Proficient computer skills specifically using Microsoft Office Suite; ability to learn additional computer skills or software programs.
  • Proficient in QuickBooks
  • Ability to enter data accurately into databases.
  • Ability to type 45 WPM and use the 10-key by touch.
  • Knowledge of accounts payable and payment processing, terminology, ability to perform related tasks.
  • Knowledge of accounts receivable and invoice processing, ability to perform related tasks.
  • Knowledge of Federal grant management and the Uniform Cost Principles.
  • Ability to process a high volume of data with accuracy and meet various deadlines.
  • Solid understanding of basic accounting principles, fair credit practices and collection regulations.
  • Ability to professionally and effectively communicate with employees, business partners, and clients via written and verbal communication methods.
  • Ability to develop relationships for success of the organization.
  • Excellent interpersonal skills to work effectively and cooperatively with all levels of management and staff.
  • Effective oral and technical written communication skills to effectively and clearly communicate complex information to others as well as to present information in front of a group.

Job Requirements

QUALIFICATIONS:

  • Bachelor's Degree in Business Management or Finance/Accounting preferred.
  • 5 (+) years experience in related field, and or grant management
  • Valid state driver's license and be qualified to operate a vehicle under the conditions of Calista Education and Culture's Driving Policy.
  • Ability to speak Yup'ik preferred.
  • Ability to pass a drug, driving and background screening.
