Position Information

FLOAT: may work between 24-40 hours per week

Day Shift: Hours per schedule

Weekend & Holiday Rotation: Per schedule

Position Summary

This position provides excellent customer service by courteously answering the phones, answering inquiries and maintaining good rapport with all areas requesting/using department services. Perform department duties include: scanning, scheduling, maintaining departmental records, among other clerical duties.



(50%)* Perform clerical duties such as but not limited to: typing, answering the telephone, relaying messages, copying and distribution of records as directed, setting up and maintaining departmental records and files, collection and compilation of data, organization, filing, and scanning of departmental medical records, and other information as directed.

(25%)* Scheduling patients, calling to confirm appointments, and securing all documentation required for appointment.

(15%)* Maintains quality assurance database, Demonstrates knowledge of appropriate diagnosis codes for scheduling and billing related to testing offered.

(10%)* May perform minor clerical duties for other departments that do not have clerical personnel as daily work schedule permits.


Look up information in the computer to answer inquiries. Uses the computer system to check/validate charges, check schedule, schedule procedures and new consult/procedure orders, etc.

Maintains any paper charts outside the computer system.

Organizes documents from printer and faxes making sure all papers for same patient are together and not co-mingled with others; gives to technologist.

Communicates requests for office supplies to the responsible staff person.

Communicates and /or orders patient care supplies when additional or special equipment is needed

Maintain a clean and orderly work area.

May audit charges in the computer system and bring errors to the attention of the designated responsible staff member.

Faxes documents.

Demonstrates competency in areas relating to essential functions.

* High School Diploma or GED


Must pass the Office Workers Test with a minimum score of 70 Percent.

Must pass the Typing Test with a minimum score of 40 wpm.

Knowledge of reading, writing, and basic computer skills required.

Courteous telephone etiquette and customer service oriented interpersonal skills required.

Strong communication skills required.

Must follow MidMichigan Health bloodborne pathogen and TB testing as required.

Physical/Mental Requirements and Working Conditions

Exposure to stressful situations, including those involving public contact, as well as, trauma, grief and death.

Able to wear personal protective equipment that includes latex materials or appropriate substitute if required for your position.

Is able to move freely about facility with or without an assisted device and must be able to perform the functions of the job as outlined in the job description.

Overall vision and hearing is necessary with or without assisted device(s).

Frequently required to sit/stand/walk for long periods of time. May require frequent postural changes such as stooping, kneeling or crouching.

Some exposure to blood borne pathogens and other potentially infectious material. Must follow MidMichigan Health bloodborne pathogen and TB testing as required.

Ability to handle multiple tasks, get along with others, work independently, regular and predictable attendance and ability to stay awake.

Overall dexterity is required including handling, reaching, grasping, fingering and feeling. May require repetition of these movements on a regular to frequent basis.

Physical Demand Level: Light. Must be able to occasionally (0-33% of the workday) lift or carry 11-20 lbs., frequently (34-66% of the workday) 10 lbs. and or Walk/Stand/Push/Pull of Arm/Leg controls.
