The Recruiting & Onboarding Coordinator operates under moderate to general supervision and provides assistance to one or more recruiters on administrative tasks and projects related to the full life-cycle recruitment process, focusing on enabling the team to effectively meet expectations, and ensuring a positive and efficient experience for prospective candidates, new hires, and internal business partners.

Core Responsibilities:

* Deliver a positive candidate experience by working closely with the recruitment team to ensure all interviews are confirmed, accurate and timely.

* Complex scheduling with all levels of stakeholders and ensuring candidate engagement throughout the recruitment life cycle.

* Administers pre-employment activities, including, but not limited to, coordinating forms, applications, offer letters and expense reports, drug testing, background and reference checks.

* Facilitate day-one onboarding tasks and responsibilities with new hires.

* Document, track, and maintain applicant records and status of engagements in the applicant tracking system and/or electronic filing system.

* Format job descriptions and post jobs to external job boards.

* Conduct research and provide support for target recruitment activities.

* As needed, assist in development of sourcing strategies including job posting, candidate pipe-lining and pre-qualification techniques.

* Partner with recruiting team through the recruitment life-cycle from recruitment kick-off through closure to ensure "time to fill" goals are achieved.

* Coordinates the preparation of with the distribution of new hire informational packets via virtual onboarding system.

* Maintain confidential information and properly document information for payroll purposes, i.e. new hire, personal information, wage changes, terminations, etc.

* Administer and train employees on behalf of Human Resources, as needed.

* Maintain and promote a positive and professional work environment within the company and within Human Resources and promote a high level of integrity within Human Resources to the company.

* The ability to maintain friendly, cordial relations with all clients and employees; maintain a positive work atmosphere by acting and communicating in a manner that results in a

* Audits candidate files to ensure required records are completed and entered into the appropriate electronic systems.

* Fields general, straightforward to moderately complex inquiries from candidates and hiring managers; escalates inquiries to senior team members and/or management as necessary.

* Assists with coordinating logistics for recruiting events, such as job fairs, open houses, and invitation-only events.

* Identifies areas of potential optimization and shares with management.

* Participates in special projects and performs other duties as assigned.

Experience & Qualifications:

* Previous experience utilizing Applicant Tracking Systems (ATS) and/or Human Resources Information Systems (HRIS) will be given preference.

* 1+ years of administrative/recruiting support experience preferred

* Experience supporting a team with full life cycle recruiting strongly preferred.

* Employment regulations knowledge with the DOL, EEOC, and OFCCP a plus.

* Knowledge of various functions (quality, sales, marketing, laboratory, information systems, etc.) within an organization and supporting managers with hiring practices a plus.

* Strong communicator with the ability to influence across all levels of the organization, exercising a high degree of confidentiality, professionalism, poise, tact and diplomacy to accomplish objectives.

* Strong interpersonal skills with the ability to clearly present recommendations and ideas and to summarize complex issues.

* Ability to work under pressure in a fast-paced, time-sensitive environment with shifting priorities and multiple deadlines.

* Ability to handle confidential material.
