Compensation: $40,000.00 to $50,000.00 per year

Our growing team is looking for an experienced Office Manager Project Coordinator who will thrive in extremely fast-paced environment. Responsibilities will include coordinating office operations and procedures in most effective and efficient way while providing excellent customer service to external and internal clients. Our ideal candidate would be a well-organized and detail-oriented leader who enjoys working with a diverse group of people, and performing a variety of administrative tasks every day, while moving the company forward. Responsibilities:
• Responsible for general office administration
• Act as a liaison between Customer Service; Parts/Warehouse Manager and Field Technicians
• Develop and/or implement new office procedures to improve efficiency
• Maintain files for all insurance documents, business licenses and permits, ensuring that these documents are updated when required
• For major projects/clients, acts as the point of contact to these clients regarding their project schedule and timeline. Acts as project coordinator, ensuring all administrative steps are taken to complete project.
• Contract administration, ensure that all of the paperwork individual projects and longer term contracts is complete and filed correctly (contract; release forms; permits; change orders; insurance documents; etc.)
• Manages Human Resources functions including: intake of job applications; new hire onboarding paperwork/setup; distributing company policies communications to all employees; updating handbooks and other employee resources; paperwork/processes to remove employees from company roll and other HR related activities.
• Manage office inventory and reorders supplies
• Arrange for maintenance and repair of office equipment, including computers; printers; mobile phones; tablets and phone/internet connectivity
• Process/distribute/forward incoming mail and email to appropriate person in company
• Provide administrative support to the President and the Field Manager(s)
• Assist with answering phones and providing customer service support
• When necessary, assist with payroll, A/R, and A/P functions including billing and collections
